CRM on Vareons is managed from /dashboard/crm. It is not an address book; it is the customer-intelligence layer that brings two areas into one workspace: customers (post-sale) and leads in Vareons terminology (pre-sale). The legacy /dashboard/crm/leads URL now redirects to the unified page.
The first core advantage is that no work is manual: when a customer completes checkout on your storefront, Vareons creates or updates a customer profile automatically, matching the email or phone number within the same store, updating the address when a new one is provided, then linking the order to the customer. After the order is saved, the purchase history is updated (order count, total spent, average order value, last order date, favourite categories and products) and an activity entry is added. Your customer base therefore grows on its own with every order, without you typing anything.
The customer profile is the heart of the system and has eight tabs: customer info, activity, orders, loyalty, support, referrals, profit, and notes. The side column shows the profile header with a VIP toggle, account status, pipeline stage and tags, purchase-stat cards, and the risk gauge. The orders tab loads only when opened, to keep the page fast, and any activity item that belongs to an order can be clicked to jump straight to that order page in the dashboard.
Because the Egyptian market runs on cash on delivery, Vareons calculates a risk score on the server on every checkout and projects it onto the customer profile, so it appears in the Risk column and on the profile as a visual gauge with a short reason and the last-updated date. It is a supporting signal for confirming doubtful orders, not a final decision: zero means the evaluation completed without elevated signals, and a dash means the result is unavailable, not low risk.
The pipeline follows leads through stages. Four locked default stages ship with the system: New, Interested, Highly interested, and Not interested, plus a default stage for converted leads. Alongside them the merchant can create custom stages from the stages manager, each with an Arabic and an English name, a hex colour, and its own order, used in the kanban board and the table view; a custom stage can be soft-deleted without losing its data.
The pipeline can be viewed four ways: a table for sorting and filtering rows, a kanban board for dragging cards between stages visually, a calendar for reviewing scheduled follow-ups, and cards designed for mobile. The default mode is smart: cards on mobile and table on large screens, and you can pin the table choice on mobile if you prefer. Most importantly, the table merges customers and leads into one list with one pagination and one search and filter, instead of two separate lists.
For each user's comfort, the visible columns can be customised (stage, priority, source, orders, date, email, risk, country, total spent, profit margin, last order date), and these preferences are stored in the database per tenant and per user, so your setup survives a change of device. CRM also offers instant search backed by a dedicated customer search index that matches name, email, phone and customer id, plus in-page filtering, so you never have to load a huge list to reach one customer.
Leads arrive from multiple sources: storefront popup forms send the lead into CRM with an instant notification to the merchant in the dashboard and on mobile, manual entry from the dashboard, converting a contact message into a lead, and import. Every lead carries a priority (urgent, high, medium, low), an assigned team member, an interest category, interested items (product, service, bundle or custom), scheduled follow-ups (call, WhatsApp, meeting or email) each with a status, notes with attachments, and an activity log. When a lead is ready, one action converts it into a full customer with a profile at /dashboard/crm, carrying over notes, interests and assignee, while the conversion is recorded in the pipeline.
Loyalty and referrals live on the same document: the customer profile tracks the loyalty points balance, tier, and earn and redeem history, lets you generate a referral code for the customer, set a "referred by" customer, and manage the referred-customer list. Crucially, Vareons reads and writes the loyalty balance from that same customer document at checkout, so points are earned and redeemed from the same balance you see in the dashboard, while a used referral code links the order to the referring customer. The profit tab shows each customer's profit and margin over periods (week, month, three months, year, all time) with monthly and weekly trends, allows a manual update or a purchase-history sync from orders, and computes a percentile that ranks the customer's value against the rest of your customer base.
CRM provides strong migration, import and export paths: a generic CSV import, or a direct import from twelve well-known platforms and systems (Shopify, WooCommerce, Odoo, Magento, BigCommerce, PrestaShop, OpenCart, Salesforce, HubSpot, Zoho CRM, Squarespace and Wix), then export customers to CSV and leads to XLSX. Open CRM
In the dashboard, open /dashboard/crm. The unified page brings together the customers section and the pipeline, and the legacy /dashboard/crm/leads link redirects there automatically. Viewing requires the view-customers permission for staff.
Add a customer or import your customer base
Add a customer manually from the add-customer dialog, import from a generic CSV file, or import directly from well-known platforms such as Shopify, WooCommerce and Zoho CRM. Adding and importing require the create-customers permission. Remember that any customer who buys from your store is added automatically without intervention.
Create pipeline stages
The default stages (New, Interested, Highly interested, Not interested) are locked and cannot be edited. From the stages manager add custom stages, each with an Arabic and an English name, a colour and an order, so they appear in the table and the kanban board.
Capture leads and follow them up
Leads arrive from storefront popups (with an instant notification), manual entry, converting a contact message, or import. Set each lead's priority, assignee, interest category, interested items, and a scheduled follow-up (call, WhatsApp, meeting or email).
Choose the view, customise columns and search
Switch between the table, the kanban board and the calendar, with cards on mobile. Convert the lead and work inside the customer profile
When the lead is ready, use the convert action to turn it into a customer with a full profile. Open the profile to review the eight tabs: customer info, activity, orders (loaded on open), loyalty, support, referrals, profit and notes, with the risk gauge in the side column.
Connect WhatsApp and refresh purchase history
Once a WhatsApp Business account is connected, template and free-text WhatsApp messages can be sent from the customer row. When needed, use "sync purchase history" on the customer profile to refresh order count, total spent and last order date from the actual orders.

Troubleshooting
1) If the customers or pipeline section does not appear, check staff permissions: view customers for viewing and export, create customers for adding and importing, and edit customers for changing stages, loyalty and referrals. 2) If a new custom stage does not appear, open the stages manager and confirm it saved with its order; the default stages are locked and cannot be edited. 3) If a customer's history looks incomplete, use "sync purchase history" on the customer profile to refresh it from the actual orders. 4) If the Risk gauge shows a dash, the result is unavailable, not low risk. 5) Orders are managed from /dashboard/orders, and CRM shows them inside the customer profile for follow-up; lead sources appear in the same pipeline. 6) If WhatsApp cannot be sent from the customer row, confirm a WhatsApp Business account is connected. 7) If a customer disappears from search, they may be archived; archiving removes a customer from search and from checkout matching.
Important limitations
• CRM focuses on store customers and follow-up; it is not a full helpdesk ticketing system. • Generic import uploads CSV rows one by one, and invalid rows may be rejected. • Leads and customers are stored in two separate collections and merged in the pipeline UI. • Archiving does not delete the record or its loyalty points, but it removes the customer from search and checkout matching, so a new record is created on the next purchase. • Delivery of business-initiated WhatsApp messages depends on Meta and requires a connected WhatsApp Business account. • The risk score is an evaluation signal, not an automatic order blocker.
